iPortal supports sharing data for other users to access, including: private, public search/download, designated search/download. Once set sharing, the designated users can access it from "Resource Center > Data > Public / Share with Me / My Organization / My Groups". Furthermore, hosted data uploaded to the portal can be downloaded or used directly in iPortal's built-in WebApps; registered data is not available for download, but can be used directly in iPortal's built-in WebApps, please see: Use data.

Data sharing scope

Note: If the administrator has enabled the Data Review function, the data resources to be shared must pass the audit before the sharing settings take effect. You can check the audit status on the My Data page by the resource thumbnail logo. The thumbnail of the data that is pending audit is marked with the message "Authorization is under audit, please look forward to it", and the data that has not passed the audit is marked with the message "Audit has not been passed".

Sharing steps

  1. After logging in, click on "Resource Center" > "Data" in the top navigation bar to access the Data Resources page, then click "My Data" in the secondary navigation bar to access the My Data page.
  2. In list view mode, click on the icon in the action bar of the specific data resource. In grid view mode, click on "..." in the bottom right corner of the card and select "Share" to enter the data sharing settings page.
  3. If the resource is private now, click on the "Sharing" button and select the sharing scope "Public Search", "Public Download" , or "Designated".
  4. If the resource is shared now, you can change the sharing scope directly; or click the "Share" switch to turn off the sharing status of the resource. Click the "Save" button to take effect.
  5. If you set the sharing scope to "Public Search", click the "Save" button directly to take effect. You can also assign the download permission with designated objects when sharing the public search. Click "Add department / Add group / Add user" to add the objects to be shared. Once added, the page will list the shared objects that have been added. You can delete a single shared object or select multiple shared objects to delete in batch. Click the "Save" button to take effect.
  6. If you set the sharing scope to "Public View", click the "Save" button directly to take effect.
  7. If you set the sharing scope to "Designated", you need to click "Add department / Add group / Add user" to add the objects and set search/download permissions. Once added, the page will list the shared objects that have been added. It supports deletion of a shared object one by one or in a batch. Click the "Save" button to take effect.
